Toolsa Equipment Rental has been part of Dubai’s construction landscape since 1993, when Ahmad’s late father Sultan founded the business as one of the first equipment rental companies in the UAE. Today Ahmad runs the company, renting out diesel and petrol power generators, diesel air compressors, compactors, aluminum scaffolding, bar bending machines, and a wide range of construction equipment.

Their customers span building contractors, roads and infrastructure firms, events companies, and fit out and interior teams. Many of them handle the entire process online through email and WhatsApp, with deliveries up to 3 tons handled in-house and payment links available for convenience.

For over 15 years, the business ran on an in-house rental system Ahmad describes as outdated and lacking the features modern rental software now offers. Looking for something built for how rental businesses actually work today, Toolsa moved to Booqable, integrating it with their external website so different product collections, from generators to scaffolding, are displayed straight from their inventory for customers to browse before they even reach out.

Using performance reports for stock expansion

Before Booqable, Toolsa had no real way to see how individual pieces of equipment were performing. Reporting simply wasn’t part of the old system, which made it tough to know which generators or compressors were earning their keep and which ones weren’t worth the warehouse space.

Booqable’s reporting gives Ahmad a clear read on performance across the fleet, from order volume to which products are getting rented most. Instead of guessing, he can look at the numbers and see what’s actually working. Ahmad says reporting is now one of his favorite parts of using Booqable, calling it very helpful for analyzing performance and making data driven decisions.

This shift has changed daily operations in a few concrete ways:

  • Monthly rental data that used to take employees a minimum of three hours to compile in Excel now exports automatically in under 10 seconds

  • The dashboard and filtering options make it far easier to track equipment and orders at a glance

  • Ahmad can spot which equipment is performing well and use that to guide decisions about what to add to the fleet next

Construction equipment comes with its own set of handling needs, and Toolsa’s old software had no way to capture that kind of detail. Without a place to record specific instructions per product, a lot of that knowledge stayed in people’s heads rather than on paper.

With Booqable, Ahmad can add custom fields to products, capturing the kind of information that matters for equipment like generators and compactors. Those fields can show up directly on packing slips, so storage instructions or handling notes travel with the order rather than getting lost along the way.

For Toolsa, this has meant:

  • Important handling or storage details are documented and not just passed along verbally

  • New employees have an easier time learning what each piece of equipment requires, since the information is right there on the order

  • Packing slips give the team a consistent reference point before equipment goes out the door

Ahmad points to customization and custom fields among his favorite features in Booqable, and it’s easy to see why. What used to depend on memory or word of mouth is now written down and attached to every order.

Looking ahead

Ahmad sums up the switch simply: Booqable has a very simple and useful interface, easy to use and straightforward. For a business that was running on 15 year old software with no proper reporting and a steep learning curve for new staff, that simplicity has made a real difference.

Toolsa isn’t slowing down either. The company recently added an AI advisor chatbot to its website, connected to Booqable’s inventory, so customers unsure of what equipment they need can ask questions and even get help calculating loads.

Ahmad and his team are also exploring agentic AI to support both staff and customers further. With more than three decades in the business and a clear eye on where rental technology is headed, Toolsa is aiming to be a first mover among UAE equipment rental companies and one of the country’s leading homegrown names in the space.
