When Peter Ruddy couldn’t find a prosecco wall he liked, he decided to build his own. He realized he could rent it out, and Timeless Celebrations was born. Once he started getting busier, it became difficult to track availability and organize delivery and collection times. Peter turned to Booqable, and now his inventory is tracked properly, preventing double bookings, and he can schedule deliveries much more easily.

In 2023, Peter and his family were organizing their annual party and needed a prosecco wall. However, they struggled to find one that they liked. Peter decided to design and make one himself. After the party, he realized that he could hire the prosecco wall out to other people hosting parties and events. This made him look at more items, build more, and buy more.

From there, the business snowballed and quickly offered prosecco walls, sweet carts, mobile bars, crisp walls, backdrops, and garden games. This unique range of items, including custom-made ones, makes Timeless Celebrations a popular event props provider for weddings, birthdays, and some corporate events. In addition, Peter, aided by his family, provides complete delivery, setup, and collection.

Earlier this year, he exhibited his business at a wedding fayre for the first time. He and his family were blown away by the response of their items and the prices received by the crowds gathered at the event. This uplifted his determination even further, and he has vowed to increase the amount of items they offer. Additionally, he will be taking on more staff members to serve more clients.

Availability and scheduling

When the business started getting busier, Peter found it very difficult to keep track of availability. This led to challenges like double booking items, which caused a lot of stress. In addition, because communication with clients was slow, he found it difficult to organize delivery and collection times with clients. So, he decided to find a software solution that would solve these challenges.

Peter tried systems from several different event rental software suppliers and found that Booqable best met his needs. His inventory in Booqable is linked to the calendar, which means that if he tries to book an item that is already booked for a specific date, he is prevented from doing so. He no longer has to look through each individual order to see if an item is available.

He has also integrated Booqable with his WordPress website to allow clients to make quote requests online. This has not only reduced back-and-forth with clients but also made scheduling deliveries and collections easier. Clients fill in this information when making their requests on the website, making it much faster for Peter to respond and schedule deliveries.

Saving time

Since implementing Booqable with his business, Peter has seen significant time savings. The biggest aspect of this has been communication with clients. He has been able to utilize email templates to quickly send off quotes for approval and confirm all scheduling before the delivery takes place. Additionally, organizing products into bundles makes packing orders much faster.
